For an import collection.

Provide the container or cargo references, port or depot, delivery address and current release and collection information. Identify the importer and clearing-agent contacts, any outstanding customs or other-agency requirement, and the party confirming terminal availability and the collection window.

SARS explains that import clearance may involve checking the goods declaration and supporting documents, examination where necessary and other government departments. The documents and release conditions depend on the actual goods. See SARS imports guidance.

For an export delivery.

Provide the booking information, required equipment, cargo-ready location, intended terminal or depot handover and the latest cut-offs supplied by the relevant party. State who packs the container, supplies the export documents, obtains VGM where required and confirms that the delivery handover is ready.

For packed containers on ships to which SOLAS applies, the shipper supplies VGM in time for the stowage plan. VGM does not guarantee loading. See IMO VGM guidance.

Prepare these details.

Movement direction.

Import or export, requested road movement, port or depot involvement and the next handover.

Container and cargo.

Size and type, container number if known, cargo description, quantity, weight, packaging and special conditions.

Readiness and documents.

Booking, release and collection references; cargo-ready status; declarations or permits still outstanding; and the responsible contact for each item.

Route and timing.

Exact collection and delivery locations, site access, latest handover windows and cut-offs, and the party supplying that timing information.

Keep transport and customs responsibilities clear.

SARS assigns declaration obligations to importers, exporters and their appropriately registered or licensed agents, with exemptions under specific rules. Identify the declarant and clearing-agent contact in the brief. Any customs service or additional coordination scope must be confirmed for the enquiry. See SARS goods-declaration guidance and export guidance.

Share the source of each deadline.

Include the latest terminal, shipping-line or depot instruction with any collection, gate-in or return deadline. Tell us whether timing is fixed or still to be confirmed and who can clarify a change.
